Topic: Using the Tools Run Method
The Tools Run method for creating a Scorecard uses the Notes Tools Run Macros command menu. The Scorecard Notes macros are listed from 1 to 6, in order of their use 1. Follow these steps:
1. First make sure that the data entries in the Excel spreadsheet have been updated and the "As Of" date on the Scorecard worksheet page has been set to the appropriate monthend (for detailed instructions, double-click here: ). Press F9 to recalculate the spreadsheet. Then select File Save to save the updated spreadsheet, but leave it and Excel open while you continue with the following steps. (Note: You can switch to Notes quickly by using the Windows command Alt-Tab or Ctrl-Escape.)
2. From the main Notes Menu, select View Admin then Documents By #. Navigate to the last document created for your region, or to the Region Information document for your region.
3. From the Notes main menu, select Tools then Run Macros. A list of six macros appears. Click or press 1 to Create a New Scorecard Form. Verify the Region displayed in the confirming NOTE window. If it is correct, click on Yes, otherwise select No and update the Region Information document and save it before proceeding (double-click here for more information ). The macro takes about one minute to complete. Click OK when the completion status message appears.
4. When the macro completes, confirm that the Region name (step 1) and "As of" date (step 3) reflect the correct information. If they are incorrect, edit the new Scorecard form you just created. Select Edit Edit Document from the Notes menu. Change the Region and As Of fields in the Scorecard as needed. (Note: If you would like to add any footnotes to this Scorecard, now would be a good time to enter the information in the Footnote field, step 4). Then Press Escape and answer Yes to save the Scorecard. You are now ready to continue.
5. Make sure that the Scorecard document you just created is highlighted before continuing. If it is not, single-click on it first. Then select Tools Run Macros again. Click or press 2 to Get Values and Trends. This updates all the Scorecard results and trend indicators. At the confirming NOTE window, click on Yes to continue, or No to stop. The macro takes about two minutes to complete. Click OK when the completion status message appears.
6. When the macro completes, select Tools Run Macros again. Click or press 3 to Get the History Page. This creates a new history page with the spreadsheet image, and places the doclink to it in the Scorecard document. At the confirming NOTE window, click on Yes to continue, or No to stop. The macro takes one to two minutes to complete. Click OK when the completion status message appears.
7. When the macro completes, select Tools Run Macros again. Click or press 4 to Retrieve the First 11 Graphs. For each of the first 11 Scorecard items that have trend information this macro creates a graph document and places a doclink next to the corresponding item in the Scorecard document. It also connects the History page to the graph document with another doclink. At the confirming NOTE window, click on Yes to continue, or No to stop. At the graph setup message box, click OK to continue. The macro takes about eight minutes to complete. Click OK when the completion status message appears.
8. When the macro completes, select Tools Run Macros again. Click or press 5 to Retrieve the Next 8 Graphs. This completes the same functions in step #7 for the remaining 8 graph documents. At the confirming NOTE window, click on Yes to continue, or No to stop. At the graph setup message box, click OK to continue. The macro takes about six minutes to complete. Click OK when the completion status message appears.
9. Congratulations, you have now created a new Scorecard with supporting graphs and history! To return to a Scorecard view, select View Scorecards from the Notes menu, then By Region. Navigate to the new Scorecard you just created and press Enter or double-click to view the completed document.
